About the job:

Office Manager is required for the Cairo based Technical Representation Office (TRO)

The TRO Cairo of Amandus Kahl GmbH & Co. KG is, effective immediately, looking to hire an office manager, with the intended workload of 40-60% and with the following duties and required qualifications. 

The deadline for applications is September 30th, 2020.

Duties

  • Operating all administration matters within the TRO of up to 6 persons:

TRO Management:

  • Liaison with Head Office and visiting delegates
  • Supporting Engineers in their duties
  • Renewing office licenses, memberships, car licenses and similar administrative matters
  • Provide proposals for workplace improvement (Efficiency)
  • Representing the company at business and/or social events, fruitful for the business

Secretarial:

  • Decent familiarity with proper and fully legal actions and proper commercial procedures
  • Excellent grasp on written communication skills for internal (Co-workers) and external (Clients/ Customers) correspondence.
  • Excellent familiarity with common office software (Microsoft Office, Zoom, Skype, etc.)
  • Excellent familiarity with common secretarial work; reports, translations, fax, emailing, initial consulting to first-time callers
  • Structured digital and analog paper filing skills
  • Proofreading our technical staff in their written English reports

Accounting

  • Monthly simple in-out accounting; checking validity of presented work expenses in accordance with company’s auditor policies; dealing with auditor’s inquiries
  • Familiarity with in-company monetary transactions; cash flow management from Head Office to TRO, management of bank accounts, checking statements

Staff Management:

  • Decent familiarity of HR skills; selection, hiring and dismissal of staff in accordance with instructions of Head Office’s HR department and the applicable law
  • Improving and maintaining a healthy and productive working environment
  • Regular and punctual payment of staff in close cooperation with TRO auditor
  • Monitoring employment contracts; timely renewal and/or termination

Marketing & Public Relations:

  • Providing assistance to market research by head office
  • Promotional work; Participation in local and/or regional exhibitions
  • Preparation and production of the yearly calendar and other printed issues, pamphlets, flyers
  • Monthly business opportunity reporting
  • Up-Keeping with daily local and global business news, researching information outlets for Tender releases and any general awareness of business opportunities, both local and regional (Middle East, East Africa)

Job Requirements

Qualifications

  • University bachelor’s degree in arts or science
  • Excellent grasp over the English and Arabic language with very good translation skills visa-versa (B2 and above), language certificate (Cambridge, IELTS, TOFL) for English is considered a valuable asset
  • German language skills are considered an asset
  • At least 10 years of work experience in a business environment
  • Open to foreign cultures and customs
  • Friendly, reliable and with an excellent precise work ethic
  • A keen and curious personality with openness to learning new skills
  • Availability to travel occasionally in the MENA and Europe
  • Ideal age: 40-50
