Job Description
Main Duties:
- Answering telephone calls and passing them on
- Greeting and assisting visitors to the office.
- Prepare and mail all Aramex/DHL/UPS/Fed Ex packages.
- Oversee all administrative aspects of seminars including registrations, confirmations, certificates, badges & evaluations, preparation and mailing of materials to seminar sight
- Filing of materials in general files area
- Assist with bookkeeping/accounting functions as appropriate
- Be familiar with functions of Office Manager so as to enable him/her to assume the duties of the Office Manager in his/her absence.
- May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required
- Carrying administrative duties such as filing, typing, copying, binding, scanning etc.
- Organising travel arrangements for senior managers.
- Writing letters and emails on behalf of other office staff.
- Booking conference calls, rooms, taxis, couriers, hotels etc.
- Processing expenses sheets and invoices.
- Monitoring stationary levels and ordering office supplies.
- Provide information to internal colleagues or external enquirers.
- Taking accurate minutes of meetings.
- Coordinating office procedures.
- Develop and update administrative systems to make them more efficient.
- Resolve administrative problems.
- Managing staff appointments.
- Coordinating repairs to office equipment.
