Job Description

  • We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks to join Cajedu team.

Essential duties & responsibilities will include:

  • Prepares reports by collecting information.
  • Maintains departments schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel.
  • Performing audio and copy typing, word processing, & letter writing.
  • Completes requests by greeting customers, in person or on the telephone; answering or referring inquiries.
  • Organizes work by collecting information; initiating telecommunications.
  • Secures information by completing database backups.
  • Provides historical reference by utilizing filing and retrieval systems.
  • Coordinating mail-shots and similar publicity tasks such as managing databases.
  • Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
  • Attend meetings and keep minutes
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Write and distribute email, correspondence memos, letters, faxes, and forms
  • Make travel arrangements for executives
  • Handle confidential documents ensuring they remain secure
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned
  • Managing diaries and organizing meetings and appointments, often controlling access to the CEO/manager/executive.
  • Organize and supervise all the administrative activities.
  • Assist in the preparation of regularly scheduled reports
  • Update and maintain office policies and procedures
  • Maintain contact lists
  • Book travel arrangements
  • Organize and follow up the operation cycle between departments
  • Sorts and distributes mail daily.
  • Assists in related projects such as scheduling utilizing Excel and Adobe PDF writer.
  • Handles confidential and non-routine information.
  • Translating documents, from both English to Arabic and vice versa.
  • Well organized, energetic team player, able to take initiative and multi-task.
  • Team Secretarial experience and good knowledge of MS-Office Products.
  • Preparation of Word and Excel documents, including letters, meeting notes and reports.
  • Arrange meetings, including inviting attendees.
  • Handles all CEO/Manager related or other requested tasks.

Job Requirements

  • The English language must read and write well
  • Excellent in both spoken and written in English
  • Proven experience as executive secretary or similar administrative role
  • Proficient in MS Office
  • Familiarity with basic research methods and reporting techniques
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity, confidentiality and high sense of responsibility.
  • Strong organizational skills with the ability to multi-task
  • Bachelor's degree
  • Degree in business administration or relative field
  • 1 years of administration work experience.
  • Attention to detail and problem-solving skills
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Excellent time management skills and the ability to prioritize work
  • Effective Under Stress.
