Job Description
- Handle all secretarial and administrative work including filing, sending and receiving mails and faxes and taking notes
- Respond to daily inquires and correspondence of different departments.
- Ensure the completeness of the department filing.
- Ensure the availability of stationary stocks.
- Purchase the stationary needed for the company.
- Follow up on the company’s facilities maintenance and contact service providers.
- Get Price quotations when needed.
- Communicate with different suppliers and follow up on purchase orders.
- Handle all the local purchasing including acquiring price quotations, purchase orders issuing, following up, receiving the materials and insuring they are received by the concerned department.
- Contact shipping companies to get quotations.
- Follow up on shipments and custom clearance.
- Handle company's decorations and assist in furniture selection.
- Prepare any requested business presentations.
- Prepare and/or edits internal and external letters, faxes, memos and mass emails for the department.
- Translate the documents from Arabic to English and vice versa.
- Prepare agendas and other information for meetings and conferences.
- Attend meetings and prepares minutes and summaries of actions taken.
- Develop and implement new administrative systems.
- Handles travel arrangements for the staff.
- Carry out a range of routine clerical activities, sending out routine replies, photocopying, printing, phone calls etc.
- Performs any other related tasks when needed.
Job Requirements
- Bachelor’s degree in business administration or any related field.
- From 2 to 4 years of related experience.
- Excellent verbal and written communication skills.
- Excellent management and problem solving skills.
- Organized and punctual in meeting deadlines.
- Ability to memorize and solve problems.
- Ability to meet agreed deadlines and work under pressure.
- Excellent organizational, communication, interpersonal and secretarial skills.
- Compose written communications independently
- Self-motivated, results oriented, team player, accurate and pay attention to details.
- Ability to interpret a variety of instructions
- Fluency in both verbal and written English and Arabic is a must.
- Excellent knowledge and use of computer and multiple programs, i.e. Word, Access, Outlook email, Excel, PowerPoint, and Internet
