Job Description

Main Duties:

  • Manage daily schedule to include additions and changes to calendar as needed Plans, schedules and organizes complex activities such as meetings, conferences,travel, Board of Management Committee meetings and other miscellaneous projects.
  • Effectively interfaces with senior executives and internal/external customers at all levels.
  • Interfaces and coordinates duties with other executive level administrative assistants to include providing backup support as needed.
  • Maintains files and follow-up system for department correspondence,including handling and prioritizing of mail as well as creates and/or develops written,verbal and/or visual presentations.
  • Provides phone coverage, orders supplies, processes invoices and expense reports and performs all duties in accordance with the Code of Conduct and in a discretionary and confidential manner.
  • Expedites the flow of work to ensure all deadlines are met and follows up as needed with executives, division leadership and staff, customers and other external contacts as needed.
  • Booking of travel and professional development activities for executive management.
  • Assists with miscellaneous enquiries and requests from public to the corporate website,e-mail or phone.
  • Undertaking any other duties or projects that may be reasonably required by the CSO and dealing with matters arising in a timely and effective manner.

Job Requirements

  • 2-4 years of experience in an admin / personal assistant position.
  • Excellent computer skills.
