Job Description

Position Summary:

The Advising Senior Specialist is responsible for coordinating student advising logistics at all universities including timelines, processes, and all-student activities (like graduation), with the objective of developing and empowering HEI scholarship recipients (www.amideast.org/HEI). The Senior Specialist will monitor and support individual scholarship students studying at Ain Shams University, in coordination with two assistants, and will coordinate student advising with other Amideast advisors for the other four partner universities (Cairo, Mansoura, Alexandria, Assiut). The Senior Specialist will monitor overall student continuation criteria and adherence; student program satisfaction; university advisor participation; and university support of scholarship students. The Senior Specialist will track and monitor student progress to ensure that all student needs are met (including the needs of students with disabilities), ensure that students are adjusting to independent university life and being away from home, are performing academically, are participating fully in all enhancement activities, and are supported in securing work following graduation.

Responsibilities:

 Student Monitoring and Support – Ain Shams University

  • Track and monitor student progress to ensure that all student needs are met and all students are on track in coordination with University advisors
  • Check all students’ progress and alignment with requirements each semester and at the end of each summer
  • Ensure that students are adjusting to independent university life and being away from home, are performing academically, are participating fully in all enhancement activities, and are supported in securing work following graduation
  • Support students, identifying when help is needed beyond university advisors’, peer coaches’ and mentors’ support
  • Process student tuition and housing payments and allowance transfers
  • Visit students on campus four times per year (some travel may be required), and meet with each student individually (phone, virtual, or in person) at least once per quarter
  • Manage positive relationships with Ain Shams University faculty and staff
  • Regularly collect and contribute M&E data on your students per the M&E plan
  • Regularly collect and submit cost share data, and develop new sources of cost share

Advising Coordination – All Students

  • Oversee the advising cycle – student registration and tuition payment, monitoring of grades, issuance of allowances, application of continuation criteria and performance improvement plans, etc. to ensure consistent knowledge of student status and support in line with program policies,
  • Create and update student advising forms, provide training on their use to the team and university advisors, and monitor the collection and filing of student forms and documentation of information
  • Create a communication plan to share important information with students through email, Facebook or other set communication tools
  • Cooperate with Disability Manager to ensure that the needs of students with disabilities are being met so that they can achieve their full potential.
  • Oversee student computer repair processes
  • Plan for and conduct the annual graduation ceremony
  • Ensure that all students have a university advisor
  • Conduct semester survey and monitor and report on overall student results (placement, grades, continuation criteria, etc.) to the Program Manager, as well as data for reporting
  • Note any issues or concerns with students and our processes related to student advising,

Job Requirements

Required:

  • Bachelor’s degree in a relevant field, such as education, business administration, communications, or economics
  • Minimum of 3 years of experience managing and implementing scholarship or training programs, advising youth, and/or working in and with the Egyptian university system
  • Experience in scholarship management and/or student advising
  • Fluent in English and Arabic; with excellent written and oral communication
  • Excellent interpersonal skills, including conflict resolution abilities
  • Demonstrated project management, organizational, and leadership skills
  • Egyptian citizen

Preferred:

  • Master’s degree in a relevant field
  • Experience in recruitment for scholarships and/or exchange programs
  • Demonstrated understanding of how to support students with disabilities
  • Experience in coordinating training programs and/or delivering training
  • Experience working in the private sector
