Job Description

Job Summary

The Executive Secretary position will be responsible for the Managing director’s office administration, in addition to his relations with clients, governmental agencies, affiliate companies and the public.

Job Description

  • Prepares for the MD meetings and related agenda.
  • Maintains good relationships with clients, the public, affiliate companies and governmental agencies.
  • Responds to all inquiries made by the MD and communicates such inquiries to the related personnel in the company or others outside.
  • Directs the development and assures the proper maintenance and control of all the administrative necessities needed for MD office.
  • Follows-up on all governmental matters, as assigned, and coordinates with the related company personnel.
  • Supports the MD’s personal affairs through facilitating communication, business meetings, travel, property management.
  • Maintains contact with the MD and departments heads, and communicates all concerns and issues.
  • Reviews and summarizes all correspondence with the MD’s office from within and outside the company.
  • Maintaining all secretarial related work from writing letters, sending faxes, emails, and preparing presentations.
  • Preparing business agenda and time schedule.
  • Taking meeting minutes and preparing the arising matters from any meeting.
  • Designing and updating filling system.
  • Performing translation from Arabic to English.
  • Booking traveling tickets and making hotel reservation.
  • Arranging Board meetings and preparing board agenda, also organizing all related documentations.
  • Preparing the arising matters from each board meeting and follow up on their accomplishments.

Working Conditions

  • Working hours start from 09:00 AM till 05:00 PM.
  • Six working days/week

Job Requirements

  • University degree holder, preferable business administration.
  • 1 - 4 years of experience in the administration field.
  • Excellent command of Arabic & English language (written, spoken and understanding)
  • Solid computer skills of different applications, MS Office and internet.
  • Flexibility and ability to work under pressure and multitask oriented.
  • Preferably having professional secretary workshop.
  • Typing speed and audio typing proficiency
  • Honesty and reliability
  • Exceptional presentation skills
  • The ability to work at her/his own initiative and to tight deadlines
  • Excellent interpersonal skills.
