Job Description

  • Respond to clients and provide information to clients.
  • Log and distribute incoming mail including regular and electronic mail.
  • Preparing legal documents and set up, organize and maintain paper and electronic filing systems in accordance with recognized procedures and standards.
  • Readying materials for trial proceedings including documents, evidence and verifying information.
  • Researching and compiling information that helps strengthen a case for the assigned Lawyer, assisting with drafting letters and legal research. 
  • Supporting Attorneys during trial by preparing documents, fact checking, preparing evidence for presentation and tracking case developments.
  • Record and monitor deadlines. Create, format, revise and edit legal documents such as wills, deeds, affidavits, complaints, subpoenas and briefs.
  • Prepare and edit correspondence, minutes, letters, memos, presentations and spreadsheets transcribe dictation.
  • Manage the attachments folders on the server.
  • Following up the first renewal reminder for the trademarks.
  • Maintenance of a case log and/or file for reference and review.
  • Coordinate logistics for meetings and conferences.
  • Provide administrative support including copying, scanning and faxing highly confidential documents.
  • Following up shipping process.
  • Monitor and coordinate the flow of information internally and with external stakeholders.
  • Input and track timekeepers' hours.
  • Maintain law libraries.

Job Requirements

  • 5+ years Proven experience.
  • Bachelor's degree in law. 
  • Knowledge of constitution, legal terminology, regulations, and court systems.
  • Knowledge of MS Office and ability to work with legal technology (court-filing computer systems, transcription software.
  • Working knowledge of intellectual property law is a plus.
  • Outstanding time-management and typing skills quickly and accurately.
  • Ability to multitask and initiate.
  • Legal Secretary certification or diploma or relevant experience.
  • Well organized and Attention to detail.
  • Ability to work to tight deadlines in a fast-paced business.
