Job Description
Key Responsibilities:
- Supporting GM and Managers in developing new businesses, which may require market research, study on statistics, and various marketing issues.
- Providing/supporting the management with research on Macro/Micro Economy of Egypt including gathering statistical data on fiscal balance, trade balance as well as governmental subsidies etc.
- Follow up statistical data & Analysis of data of past and current sales contracts & realized data of Cairo office.
- Assisting in general documentation work including expenses claims and various internal general affair roles.
- Supporting the management for better office environment as well as GM residence: cleanliness, utilities, guest facilities.
- Daily diary/appointment management including co-ordination and liaison with office staff according to GM schedules.
- Meeting and greeting high profile customers and guests.
- Any other secretarial/administrative task as may be requested by the General Manager in order to meet the operational needs to the business including research and translation.
Relationships:
- The Office Head.
- Staff working at the home of the Office Head.
- Chauffeur for the Office Head.
- All other members of staff, especially senior management.
- Members of senior staff and their secretaries throughout Mitsui worldwide.
- Booking staff at various hotels, restaurants and clubs.
- Staff at various travel and airline companies.
Job Requirements
Skills/Knowledge:
- Good verbal and written communication skills
- Knowledge of Japanese culture
- Computer skills including using Word, Excel, Outlook, PowerPoint etc
- Patience, empathy, understanding and common sense.
- Ability to multi-task, manage shifting priorities and work within strict time deadline
- Basic accounting, budgetary management and expense processing skills
- Ability to build a rapport with a wide range of people
- Knowledge of Mitsui structure within UK, Europe, Japan and globally
- Up to date knowledge of Financial Services, corporate and Trading sector, and political world
- Good knowledge of Heads, VIPs and secretarial staff within companies that Mitsui do business with.
- Knowledge of how to and ability to arrange a party / reception and organise a seating plan, menu, entertainment etc
- Knowledge of a wide range of first class restaurants, venues and hotels worldwide
- Knowledge of the Office Head's personal preference.
Experience:
- Extensive secretarial experience, including comprehensive experience working for someone at board or senior management level as a Personal/ Executive Secretary, managing personal as well as business related issues.
- Previous experience working for a Japanese company, preferably a trading or multinational organisation is beneficial.
- Some experience or exposure to the Japanese culture would be beneficial.
Education:
- Good level of secondary education.
- Secretarial qualification, including typing qualification.
- Unv. Graduate: Faculty of Arts-Department of the Japanese language.
