Job Description
Executive Assistant Duties:
- Manage a broad variety of administrative tasks and special projects for the Managing Director:
- Manage an active calendar of appointments; planning and scheduling meetings, conferences, teleconferences, etc.
- Keep Managing Director well informed of upcoming commitments and responsibilities, following up appropriately.
- Arrange complex and detailed travel plans, itineraries and agendas
- Compile necessary documents and presentation materials
- Complete expense reports
General Administrative Duties:
- Answer and direct phone calls
- Greet and help host office visitors
- Distribute incoming mail, and emails as needed
Office Management Duties:
- Liaise with IT provider for day-to-day technology needs/issues
- Liaise with building management and maintenance as needed
- Liaise with third party vendors as needed
- Order and distribute office supplies
- Perform basic bookkeeping activities
HR Duties:
- Clarify operating policies and procedures for employees
- Coordinate time sheet entry
- Keep record of employee information
Job Requirements
- Education: High School Graduate or General Education Degree Bachelor Degree Preferred
- Experience: 2+ years in Administration
- Relevant Skills: Strong written and verbal communication skills, Dictation skills,
- Reporting Skills, Supply Management, Time Management, Scheduling, Travel
- Logistics, Microsoft Office
- Fluent in English
