Job Description

A new startup is looking to hire an exceptional personal assistant (PA) to the founder. This is a very dynamic role with a lot of responsibility that is also incredibly rewarding. This is not a 9-5 job. While we have very flexible schedules, a lot of times we have to work nights and weekends. We value culture and personality over experience. The successful candidate will be more of a partner rather than an employee. If you believe you are a right fit for the startup, even if you have minimal experience, please get in touch.   • Please note that this position is neither an executive assistant nor a secretary, but a personal assistant. This means that the successful candidate will be working directly with the founder and will be responsible for more than one line of business as well as limited private/household management with duties beyond simple administrative work.
  • 3 months’ probation period.

Job Description

  • Daily management of email and providing briefs and notes on contents.
  • Conducting web-based research on various topics and writing briefs and reports on findings.
  • Daily purchasing and reading of several local and international newspapers and publications and providing briefs and notes on them.
  • Purchasing event tickets and arranging bookings.
  • Attending various events and meetings and producing detailed summaries.
  • Reviewing, assessing, routing, and monitoring follow-up action steps on different projects.
  • Create and maintain a filing and archiving system and manage databases (hard copy/electronic)
  • Get official/legal paperwork done during regular business hours.
  • Simple pick-up/drop-off tasks as well as various errands.
  • Liaise and communicate with existing and potential clients and contacts.
  • Be a key point of contact for varying professionals with a positive and helpful approach, taking ownership of all queries both face to face and via email/phone.
  • Create and maintain a calendar of events and projects as well as handle weekly and monthly agendas.
  • Making travel arrangements.
  • Scheduling meetings.

Future and Development of the Role

In the long run (12 months to 36 months), the PA will get the chance to be involved in the creation of a startup with all the exposure that brings, from business development to marketing to logistics to management. The PA will also have the opportunity to travel internationally which would certainly increase their personal and professional network. We also put very strong emphasis on career development and culture.

Job Requirements

Personal Criteria

  • Perfect command of both Arabic and English (speaking/writing/comprehension). Ideal candidate will be perfectly bilingual.
  • Age 22-28 (not an absolute necessity)
  • Proactive and dynamic with a growth-mindset
  • Willing to travel internationally if needed
  • Liberal/open minded
  • Extroverted and friendly with great “bedside manner” with customers, investors, press, recruits etc.
  • Excellent communication and social skills

Professional Criteria

  • Excellent knowledge of Microsoft Office (particularly Excel) or willing to learn.
  • Numerate and can do data entry, accounts payable, collections etc. or willing to learn.
  • Any academic/professional background welcome.
