Job Description

We are seeking a highly organized and proactive Executive Administrative Assistant to act as a key point of contact among executives, employees, and external partners. In this role, you will be responsible for ensuring seamless office operations, maintaining effective communication, and providing essential administrative support.

  • Serve as the primary point of contact between executives and internal/external stakeholders, facilitating efficient communication and follow-up.
  • Manage the flow of information across the organization, ensuring timely and accurate dissemination of reports, updates, and critical documents.
  •  Prepare comprehensive weekly, monthly, and quarterly reports, as well as other business documentation as required.
  • Supervise and coordinate the performance of clerical staff, ensuring that all tasks are completed efficiently and to a high standard.
  • Oversee the daily administrative functions of the office, ensuring smooth operation of office processes and procedures.
  • Coordinate and schedule meetings, events, and appointments for executives, and take detailed minutes during meetings as needed.
  •  Maintain and update records, databases, and personnel files with accuracy and confidentiality.
  •  write  and implement company policies and procedures, ensuring compliance and alignment with organizational goals.
  • Handle confidential documents ensuring they remain secure
     

 

Job Requirements

  • Bachelor degree.
  • Excellent in both spoken and written in English/ Arabic.
  • Proven experience as an executive secretary or similar administrative role.
  • Proficient in MS Office and “back-office” software (e.g. ERP)
  • Familiarity with basic research methods and reporting techniques.
  • Excellent organizational and time-management skills.
  • Outstanding communication and negotiation abilities.
  • Integrity and confidentiality.
  • Able to work independently with little or no supervision.
  • High internet connection i.e. Fiber Internet, Cable Internet, etc.
  • A personal computer or Laptop.
  • Good quality HD camera to ensure quality of visual meetings.
  • Good quality microphone and headphone, to ensure quality of audio conversations.
  • A private, well-furnished office room with proper lighting and background.
