Job Description
- Filing and archiving of documentation to facilitate easy retrieval at a later date.
- Liaison with the project team member for preparation of all technical submissions. Ensure all submissions are submitted in timely manner, appropriate approval/rejection are obtained and formally recorded and that changes and revisions are managed as part of document control process.
- Input document data into the standard registers ensuring that the information is accurate and up to date.
- Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
- Registering of internal and external documents
- Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and correspondence
- Generate the various document control reports as required.
- Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff
- Maintain updated records of all approved documents and drawings and their distribution clearly
- Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
- Maintain the files and control logs as required by the project.
- Maintain document control registers/documents for incoming and outgoing project documents.
- Maintaining a master document register of the latest drawings on a project and ensure that all recipients are transmitted the drawings they require as soon as new revisions of drawings are received.
- Provide reports on the performance of the document management system
- Monitor and continuously improve the effectiveness of data management procedures and processes according to project objectives.
Job Requirements
- Certified International Computer Driving License (ICDL).
- Familiarity with computerized document/data management systems
- High level of computer literacy with experience using Microsoft package including Microsoft Word, Excel and Access. Strong organizational & administration skills.
- Excellent communication skills, interpersonal skills and High level of self-motivation.
- Good English oral and written communication skills
- Ability to take the initiative and work independently.
- Ability to keep clear and accurate records and reports.
- Ability to use computer and rapidly input data and retrieve records and information.
- Ability to organize workload and to manage a filing methods and management techniques
