Job Description
- Manage all related work activities related to CEO
- Plan and coordinate the calls and meetings and different appointments
- Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
- Managing office budgets.
- Organizing and attending meetings and ensuring the manager is well prepared for meetings
- Assist in Public relations and marketing for the company with highest dedication level
- Organizing and chairing meetings with staff, this may include typing the agenda and taking minutes;
- Arranging travel, visas, accommodation and, occasionally, traveling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
- Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
- Maintain office correspondence, handle customer complaints and inquiries, and most importantly maintain confidentiality of sensitive data.
- Alert manager about cancellation or new meetings.
- Organize the office layout and maintain supplies of stationery and equipment
- Provision of a comprehensive administration and secretarial support service including word processing, photocopying, and email/ Internet.
- Respond to public inquiries face-to-face or via telephone/email.
- Maintenance of Trust filing systems in both electronic and hard copy and the provision of information as required to support the effective management of the business
- Collection and distribution of post, e-mail, and telephone inquiries
- To compile and co-ordinate appointments and meetings in the CEO’s diary and to sort and priorities inquiries; to answer inquiries on behalf of the CEO, when required.
- Receiving of visitors and the arranging of hospitality.
