Job Description

JOB OBJECTIVE:

Responsible for providing support in various HR functions, which include recruitment, onboarding, employee filing, training and development, performance monitoring, and employee counseling. Additionally, maintain all office services including supply requisitions and office maintenance.

HR Related Duties:

  • Post Job vacancies online, screening and shortlisting candidates
  • Schedule interviews and meetings
  • Provide regular feedback to candidates about their application status
  • Develop recruitment progress reports
  • Conduct reference checks on possible candidates
  • Ensure all recruitment documentations and files are complete before onboarding
  • Ensure any HR communications are sent out on time (new joiner announcement, event announcement, reminders, birthday celebrations, etc)
  • For team events, research for best venues and best quotations
  • Organize staff training sessions, workshops and activities
  • Ensure proper employee filing is available for existing employees
  • Track all HR requests and make sure solutions are communicated on time to requester
  • Monitor daily attendance.
  • Investigate and understand causes for staff absences.
  • Monitor scheduled absences such as holidays or travel and coordinate actions to ensure continuity of services.
  • Conduct exit interviews
  • Assist HR Business Partner and CEO in any other requests

Office Admin Related Duties:

  • Make sure office is always neat and supplies are always available
  • Keep track of stationary log and requests
  • Order supplies and keep track of purchase orders and invoices
  • Book travel arrangements for team members going on business trips
  • Liaise and follow-up with other departments like facilities, IT, finance whenever required
  • Welcome guests at the reception area and guide them in whatever inquiries they may have
  • Assist HR Business Partner and CEO in any other requests

Job Requirements

  • 3 to 5 years of experience in a similar role
  • Previous experience in Digital Agencies is preferred but not a must
  • Bachelor degree in Human Resources or any other related field
  • Understanding of human resources management
  • Understanding of UAE legislation
  • Understanding of UAE cultural environment
  • Problem-solving skills
  • Effective verbal and listening communications skills
  • Effective written communications skills including the ability to prepare reports, proposals, policies and procedures
  • Computer skills including the ability to operate spreadsheets and word processing programs at a highly proficient level
  • Interviewing skills
  • Time management skills
  • Maintain standards of conduct
  • Possess cultural and political awareness and sensitivity
  • Demonstrate sound work ethics
  • Be flexible, consistent and fair
  • Maintains high confidentiality
