Job Description

A leading international football academy specialized in scouting and qualifying Egyptian local talents bringing them to international standards and allowing them to find lucrative opportunities in international football leagues is hiring an Administrative Assistant.

Overview

The main objective of an Administration Officer is to coordinate all key administrative affairs, projects and initiatives for the successful establishment and start-up of the company business unit in Egypt.

His/her is responsible for playing multiple roles including administration, office management and human resource management providing maximum assistance to the Egypt’s MD to conduct business in an optimal way through the effective follow up on contractors and construction design offices, providing assistance to MD on the development of schedules, presentation and reports, as well as managing employee induction and experience in Egypt.

Projects and Contractors’ Management

  • Oversee sub-contractors progress in facility construction, design, zoning… etc. and keep the management properly informed;
  • Follow up on construction timelines and ensure the timely delivery by sub-contractors on every milestone;
  • Assist MD in planning and allocation of available resources to enable successful project implementation.

Office Management

  • Act as a point person for maintenance, mailing, shipping, supplies, equipment, bills and errands;
  • Organize and schedule meetings and appointments;
  • Manage relationships with vendors, service providers and contractors, ensuring that all items are invoiced and paid on time;
  • Manage contract and price negotiations with office vendors, service providers and office lease;
  • Assist the MD through creating PowerPoint slides and different forms of reports;
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored;
  • Organize the office layout and order stationery and equipment;
  • Develop and maintain a physical archiving system for all activities;
  • Ensure the tidiness of facilities and offices through managing cleaning staff;
  • Manage the security staff to eliminate possible thefts or health hazards;
  • Manage company G&A budget, ensuring accurate and timely reporting;
  • Maintain the office condition and arrange necessary repairs.

Recruitment and Employee Relations Management

  • Develop and implement company policies by setting up procedures and standards to guide operation;
  • Recruit non-academy staff and provide orientation and training to new employees;
  • Manage employee relationship through addressing employee complaints and issues;
  • Develop and maintain a basic HR database detailing employee information and background;
  • Address employees’ queries regarding office management issues (e.g. stationery, Hardware and travel arrangements);
  • Follow up on the completion of employment contract and employee paperwork and coordinate the accountant for payroll operational accuracy.

Job Requirements

  • Bachelor's degree in any discipline (Business Administration/Commerce is a plus)
  • Minimum 2 years of experience in office management, administrative assistance or project management
