Job Description
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
- Receive and screen phone calls and redirect them when appropriate.
- Handle and prioritize all out going or incoming correspondence ( e-mail, letter, packages, etc. )
- Monitor office supplies and negotiate terms with suppliers to ensure that most cost-effective orders.
- Make travel arrangements for executives.
- Handle confidential documents ensuring they remain secure.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Assistant sales department in coordination between the factory and the admin office.
- Enough knowledge in logistics and import / export documentation.
- Prepare invoices or financial statements and provide assistance in bookkeeping.
Job Requirements
- Must be female.
- Fluency in written and spoken English.
- Degree in business administration or relative field.
- Proven experience as executive secretary or similar administrative role.
- Proficient in MS office and all related applications.
- Familiarity with basic research method and reporting techniques.
- Outstanding communication and negotiation abilities.
- Integrity and confidentiality.
- presentable.
- Excellent organizational and time-management skills.
