Job Description

  • Handle administrative requests and queries from managers
  • Organizing and scheduling appointments 
  • Planning meetings and taking detailed minutes
  • Provide general support to visitors
  • Act as the point of contact for internal and external teams
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Under the supervision of HOD:
  • Develop, review and update policies, processes, workflow and procedures
  • follow up and Monitor process progress and handle any issues that may arise
  • Conduct desktop research, questionnaires, surveys ...etc., to gather data.
  • Record findings by taking written notes and using appropriate software
  • Maintain documentation library and record key project details and produce the documents that are required to implement 
  • liaise with teams to identify and define requirements, scope and objectives

Job Requirements

  • Proven experience as an Administrative Assistant or project coordinator
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, office 365 in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
