Job Description

Job brief

  • We are looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.

Responsibilities

  • Serve visitors by greeting, welcoming, directing and announcing them appropriately, in person or on the telephone.
  • Answer, screen and forward any incoming phone calls while providing basic information when needed.
  • Receive and sort daily mail / deliveries / couriers.
  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).
  • Update appointment calendars and schedule meetings / appointments.
  • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
  • Prepare and disseminate correspondence, memos and forms.
  • File and update contact information of employees, customers, suppliers and external partners.
  • Support and facilitate the completion of regular reports.
  • Check frequently the levels of office supplies and place appropriate orders.
  • Make travel arrangements.
  • Document expenses and hand in reports.

Job Requirements

  • Female Only.
  • Proven related work experience.
  • Familiarity with office organization and optimisation techniques.
  • High degree of multi-tasking and time management capability.
  • Excellent written and verbal communication skills.
  • Integrity and professionalism.
  • Proficiency in MS Office.
