Job Description

Job Summary:

The Program Documentation Officer is a full-time position based in the Cairo office. S/he will work across program units to monitor the work plan in terms of activity timeline and budget and will support the Chief of Party (COP) to make adjustments as needed. S/he will work closely with the DCOP to curate and package evidence-based data for use by internal and external stakeholders to further program objectives. S/he will report to the DCOP. 


Primary Responsibilities and Duties:

  • Develop an in-depth understanding of the program work plan to support and coordinate program teams.
  • Support the program teams in monitoring and tracking work plan progress in implementing activities.
  • Advice the COP and senior leadership on aspects of program’s key communication opportunities.
  • Assist the DCOP and SEFPP Communications Officer to ensure that program data are shared appropriately with stakeholders.
  • Work with key program staff to compile, write, and disseminate weekly, quarterly, and annual reports for USAID. Coordinate the entire process of developing and completing these reports.
  • Work with all units and the Implementation Manager to compile and update the Project’s Detailed Implementation Plan (DIP).
  • Follow-up on DIP interventions and timeline, and track and ensure deliverables and milestones are met and submitted.
  • Assist the creation and management of a detailed program knowledge management system, ensuring full integration with other relevant knowledge management platforms;
  • Work with the Communications Officer to standardize all templates and formats for reporting (deliverables, milestones and branding).
  • Work with the Communications Officer to maintain an e-filing system/database that stores and tracks project documents and publications and monitor to ensure timelines and schedules are well managed;
  • Work with DCOP and technical staff to address USAID and other inquiries related to program activities.
  • Standardize reporting system with the Ministry of Health and Population/Family Planning Sector and National Population Council and ensure two-way communication related to program implementation.
  • Communicate with JSI home office for any updates or standards with regards to the documentation policies, regulations, and suggestions.
  • Work with closely with DCOP and report any challenges related to documentation along with suggested solutions.
  • Undertake other documentation tasks, as assigned by the DCOP.

Job Requirements

  • More than 7 years of experience working in reporting and documentation role in international development and corporate setting.
  • More than 7 years of’ experience in developing, formatting, and editing publications and IEC materials.
  • Excellent communication skills (written and verbal) in English; knowledge of Arabic preferred.
  • Ability to conceptualize, write, and edit technical content.
  • Familiarity with program management tools.
  • Demonstrated managerial and organizational skills in a fast-paced environment with flexibility to adapt to changing priorities and deadlines.
  • Ability to establish and maintain excellent relationships with program team members, donors, and other cooperating agencies.
  • Big picture thinker with strong team building and organizational skills preferred.
  • Prior work history with USAID-funded projects preferred.
