Job Description
- Schedule meetings, travel arrangements and hotels.
- Arranging and attending Board of Directors & General assembly meetings and take minutes together with proposing agenda.
- Coordination of the external visitors of the company and the chairman.
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Dealing with correspondence, complaints and queries.
- Preparing letters, presentations and reports Monitor and manage the firm’s standards of client care and of client satisfaction.
- Handle client billing queries and client complaints.
- Sending & Receive Quotation and tenders.
- Supervising and monitoring the work of secretarial, clerical and administrative staff.
- Managing office budgets.
- Liaising with staff, suppliers and clients.
- Receive‚ open and put away all deliveries to the office.
- Deal with incoming telephone calls and make outgoing calls.
- Meet and greet visitors to the office.
- Maintain current mailing lists on active CASA volunteers, Board members, donors, and other pertinent lists.
- Implementing and maintaining procedures/office administrative systems.
- Delegating tasks to junior employees.
- Organizing induction programmers for new employees.
- Ensuring that health and safety policies are up to date.
- Using a range of software packages.
- Handling staff recruitment and appraisals.
- Attending meetings with senior management.
- Keeping personnel records.
