Job Description
- First point of contact for all office inquiries/issues of the CEO
- Oversee internal processes to always ensure the most efficient systems are in place
- Maintain a strong culture and internal engagement
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
- Management and coordination of agendas for 1:1 and direct report meetings with CEO
- Attend all senior leadership meetings to create agendas, take minutes and provide reporting to CEO
- Support across all social media channels for CEO
- Full responsibility of day-to-day operations including supplier negotiation and contract management
- Answer phone calls and direct calls to appropriate parties or take messages.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
- File and retrieve corporate documents, records, and reports for CEO
- Open, sort, and distribute incoming correspondence, including faxes and email of the CEO.
Job Requirements
- 5-10 work experience as an Office Manager with CEO
- Fluent in English Language (Spoken & Written)
- Strong relationship and influencing skills
- Accountability – always following up and staying ahead of the game
- Ability to think strategically and execute quality output under tight deadlines, ability to think outside the box
- Highly organized
- Strong time-management skills and presentation skills
- Ability to manage multiple projects and work to very tight deadlines
