Job Description

  • Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings. 
  • Communicates on the CEO’s behalf and coordinates logistics with high-level meetings both internally and externally. 
  • Plan and monitor yearly costs and expenses to assist in budget preparation for Administration including buses rental, security service, buffet, cleaning and office supplies, business mobile lines, building’s rental and business travel of all employees including visas, air tickets, accommodations & allowances.
  • Developing, reviewing, and improving administrative/travel systems, polices, and procedures. 
  • Overseeing special projects and tracking progress towards company goals by organizing and coordinating information and requirements, planning, arranging, and meeting schedules, monitoring results.
  • Contacting Suppliers, managing & creating commercial evaluations, purchase orders & payment memos.
  • Achieves financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; all related to administrative work.
  • Provides supplies by identifying needs for reception, electicity/water/AC, buffet, and kitchen; establishing policies and procedures for maintaining office.

Job Requirements

  • Bachelor’s degree in Business Administration, or any related discipline.
  • Office Management training is preferred.
  • Effective Time Management training is preferred.
  • Leadership Training is preferred.
  • 10+ Years of experience in similar position in the field of Administration, Facility.
  • Microsoft Word, Excel, Outlook and PowerPoint
