Job Description
- Receive visitors at the front desk by greeting, directing, and assisting them appropriately.
- Respond to and effectively prioritize incoming phone calls, in addition to keeping a detailed phone log and taking down messages.
- Create and manage the annual corporate calendar of events and activities ensuring this is kept up to date at all times.
- Plan, schedule, and organize office meetings.
- Manage any related business travel arrangements required, including booking accommodations, transportation and/or visa appointments.
- Receive, sort, and distribute daily mail and packages flow in & out office through dispatchers or courier services.
- Manage the office supplies, ensuring availability of items and cost optimization.
- Receive, review, and process office utilities and services bills on monthly basis in a timely manner.
- Handle related petty cash expenditures, settlement and submit periodic relevant reports.
- Compile data and compose correspondence and reports independently or from brief instructions for administrative, statistical, and financial reports.
- Establish & maintain a variety of filing, recordkeeping, database and tracking systems that is accurate, organized and updated consistently (soft and/or hard).
- Develop, implement, and improve office policies and procedures.
- Supervise the admin team (internal and outsourced) in terms of tracking their attendance adherence, overseeing their performance, and ensuring completion of the assigned tasks.
- Establish, maintain, and foster positive and effective working relationships with internal & external stakeholders.
- Receive and address administration related complaints from internal customers.
- Manage Property Insurance Policy in both Cairo and Alex offices, in terms of monitoring service level, policy renewal, maintenance and financial settlement.
- Manage and coordinate the operations of company vehicles in terms of purchases, insurance policies, accident repairs, and license renewal.
- Ensure that the facility is always kept clean and presentable.
- Ensure implementation of effective facility management policies and immediate resolution of any required maintenance.
Job Requirements
Academic
- Bachelor’s degree in Business Administration, or any related disciplines.
Experience
- 3 - 5 years of experience in a similar position.
Skills:
- Competency in Microsoft applications (Word, Excel, and Outlook).
- Fluency in English Language is a MUST
- Presentable.
