Job Description

Import Operations:

In-Charge of Import Operations:

  • Lead and oversee all import-related activities.
  • Handling Inquiries:
  • Develop and manage inquiry forms for FCL and LCL shipments. o Engage with overseas and local agents for freight inquiries. o Interact with local shipping lines and agents to gather freight inquiries.
  • Client Coordination:
  • Prepare and manage client quotations using the client quotation format. o Regularly send freight rates to clients. o Liaise with clients to address any queries or issues. • Agent and 3PL Coordination: o Coordinate with agents using the agent inquiry format. o Manage inquiries with third-party logistics providers (3PL) using the 3PL inquiry format.
  • Operational Support:
  • Assist with various operational tasks as needed. o Ensure all required documents are collected and entered into the system. o Maintain hard copies of files and ensure they are properly organized. o Monitor shipment status and provide updates to clients. o Coordinate with customs brokers to ensure timely clearance of shipments. o Address any issues related to import documentation and compliance.
  • Financial Coordination:
  • Receive and forward credit and debit notes to the accounts team. o Coordinate with the accounts team regarding payables and receivables. o Assist in the reconciliation of accounts related to import operations.
  • System Management: o Open and close files in the system as per the operational requirements. o Enter all relevant data into the system accurately and promptly. o Maintain and update the import operations database.
  • Communication and Reporting:
  • Report to the head of freight and other relevant departments on operational matters.
  • Send arrival notifications to clients.
  • Maintain an organized registry of all received documents.
  • Prepare and submit regular reports on import activities and performance metrics.
  • Additional Duties:
  • Stay updated with industry trends, regulations, and best practices related to import operations.  Provide training and support to new team members as needed. o Ensure seamless coordination and communication within the team to maintain efficient operations.
  • Documentation requirements:
  • Customer Communication:
  • Ensure smooth and timely process flow and update customers by email.
  • Coordinate with customers in case of missing documents in files and update the system accordingly.
  • Ensure documents are timely sent to customers or 3PL.
  • Data Management:
  • Ensure accurate and timely data entry into the operating system.
  • Maintain hard copies of files and ensure they are properly organized.
  • Open files and manage them end to end.
  • Close files once processes are complete. •
  • Reporting:
  • Submit weekly reports to management on activities and performance metrics. •
  • Document Handling:
  • Receive and acknowledge documents.
  • Track and trace shipments as required.
  • Utilize process monitors and workflows daily to ensure efficiency. •
  • Compliance:
  • Meet compliance at all times to regulations.
  • Understand the department's process flow and constantly look for areas of improved efficiency. •
  • Additional Duties:
  • Assist with various operational tasks as needed.

Job Requirements

  • Bachelor’s Degree
  • Minimum 2 years of Experience in freight forwarding company as import specialist
  • Fluent in English language
