Job Description

Responsibility 1: Provide General support to the logistics department

Activities:

 1.1 Procurement:

  • Assist the Logistics Officer to organize the different stages of the local purchasing of goods and services: market surveys, quotations, pro forma requests, ordering, receipt, conformity checks, and organize necessary transportation (mode, packaging, planning and monitoring of dispatches, , tax exemptions, reception, payments…).
  • Follow up the site purchase files archiving and ensure it’s up to date according to HI rules.
  • Ensure the suppliers database up-to-date.

1.2 Equipment:

  • Assist the logistics officer in ensuring that all records are tracked in the Equipment Monitoring Chart.
  • Stick HI Equipment number on every new equipment.

1.3 IT:

  • Identify the needed of the IT maintenance for HI offices
  • Follow up regular weekly back up.
  • Follow up strictly the allocation of all the IT equipment

Responsibility 2FLEET MANAGEMENT. 

 Activities:                                                             

  • With the assistance from the log officer, the log assistant will supervise the driver in the maintenance and the check-up off the vehicle by ensuring proper day-to-day maintenance and cleaning of the assigned vehicle through timely minor repairs, arrangements of timely changes of oil, check of tires, car washing, re-fuel, etc.….
  • Ensure the availability of all required documents and supplies including: vehicle license, insurance, vehicle logs, and map of the city/country, first aid kit, and necessary spare parts.

Responsibility 3: GENERAL SERVICES (STAFF TRAVELS / PREMISES)

 Activities:

3.1 Follow Staff Travels /Documents

  • Make sure that collected information is displayed on the staff movement sheet and updated when needed.
  • Assist in organizing travels by taxis/shuttle/ HI Vehicle according to the availability of vehicle and the movements forecasted
  • Assist in organizing mission visitors’ accommodations

3.2 Premises (Offices, Guest houses)

 Follow up the renovation and maintenance of structures (office, guesthouse)

  • Manage the running of premises (electricity, water, gas…..)
  • Follow up the set-up of security system on the mission premises, fit it with the general safety measurements, ensure the installation of the equipment’s/materials, and its maintenance when required.
  • Presents safety briefing to passengers (visitors) prior to each trip departure.

Responsibility 4: Carry Out Driving Duties 

Activities When asked for:

  • Drives HI employees to, field work sites, and various locations as per the assignments received from the Log Officer when there is no availability to the driver with the respect of the rules governing

Job Requirements

Education

  • University Degree in Development-related field or Business Administration

Work Experience

  • Minimum of 3 years practical experience in related fields (administration, logistical, operational support)

Skills/Competencies

  • Very good Arabic and English,
  • Good organization skills
  • Good oral, written communication skills
  • Good negotiation skills.

  • Ability to understand and follow oral and written instructions.
  • Ability to deal effectively and patiently with internal and external parties

Languages

  • Excellent knowledge (written and spoken) of Arabic and a very good knowledge (written and spoken) of English.
