Job Description

  • An Executive Assistant to perform a variety of administrative tasks and support the company’s VC.
  • Executive Assistant’s responsibilities include managing calendars, making travel arrangements, and preparing expense reports. 
  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive.
  • Reminding the manager/executive of important tasks and deadlines.
  • Process and distribute daily mail.
  • Assists board members with travel arrangements, lodging, and meal planning as needed.
  • Any other duties as may reasonably be required by the Director.
  • Assist Director in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the VC and staff.
  • Provide hospitality to all guests and help to create a welcoming environment.

Job Requirements

  • To be successful in this role, one should be well-organized, have great time management skills, and be able to act without according to guidance.
