Job Description

The Office Administrator - Office & Facilities Officer is responsible to participate and review the work of the Administration Department in the process of staff who are responsible for performing a variety of administrative duties.  The incumbent shall also be responsible to ensure work quality and adherence to established policies and procedures and performing the more technical and complex tasks related to the assigned area of responsibility. Below are a few main responsibilities of this role:

KEY RESPONSIBILITIES

  • Provide administrative oversight and service to departments across the company.
  • Be responsible to ensure proper maintenance of the facilities; Follow up on all housekeeping staff; monitor cleaning schedules, and ensure optimum facilities up-time.
  • Ensure proper stock maintenance; maintain a record of stock utilized and make necessary arrangements for replenishing exhausted items.
  • Prepare and maintain the Assets & Liabilities form for company assets owned by employees and to be retrieved during the end of service.
  • Be responsible to ensure proper maintenance of the facilities; manage all housekeeping staff; monitor cleaning schedules, and ensure optimum facilities up-time.
  • Organize and manage all office supplies; ensure proper stock maintenance; maintain a record of stock utilized and make necessary arrangements for replenishing exhausted items.
  • Act as the central resource to organize and manage various events for the company that may involve internal and external parties. Responsibilities may include making travel and accommodation arrangements, booking venues for the event, internal commute, and food arrangements.
  • Manage the Keys-cabinet, to ensure a true copy of all keys is maintained in an organized manner.
  • Serve as the liaison for the assigned division to negotiate and resolve complaints, concerns and issues.
  • Other duties and projects as assigned

Job Requirements

  • Bachelor’s Degree in any discipline
  • Minimum 3-5 Years of experience, in a similar role.
  • Fluency in MS Office
  • Employment status: Legally permitted to work in the country of operations
  • Requires experience in Microsoft Office applications and internet research skills.
  • Knowledge of modern office procedures and industry best practices
  • Show flexibility, excellent interpersonal skills, and project coordination experience.
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Strong customer services and communication.
  • Focus on quality and attention to detail
  • Time management skills.
  • Problem-Solving skills and ability to work under pressure to tight deadlines
  • Ability to work well as part of a team-contribute to building team spirit, aid others to succeed.
