Job Description

Job Title: Program assistant 

Department: HEI Public University Scholarship Program, AMIDEAST/Egypt

Immediate Supervisor: Program Officer

Location: Cairo, Egypt                                  

Position Summary: 

Program Assistant will support one Program Officer in 1) the monitoring and support of students in the Public University Scholarships program and 2) either the administration of student-advising policies and procedures and logistics or the administration of enhancement training programs. Activities may include data entry, drafting documents, contacting students, creating student reports, making phone calls, collecting data, coordinating appointments and meetings, and timely and accurate filing of key project documentation.

Responsibilities:

  • Track students’ completion of activities and requirements and ensure that the student monitoring database is up to date.
  • Coordinate and follow up with other teams on quarterly student update report content.
  • Assist Program Officer in budgeting and tracking participants costs.
  • Support Program Officer in advising program planning.
  • Communicate with students on a regular basis.
  • Maintain attendance records for trainers and use to compile trainer payment requests on a monthly basis.
  • Collect student attendance from trainers to track attendance and participation;
  • Assist the Program Officer in communicating with Ain Shams University faculties and staff to facilitate students’ academic requirements.
  • Draft program documents including official letters, announcements, success stories…etc.
  • Assist the Program Officer in developing the quarterly reports.
  • Organize and follow up on training logistics and procurement of books and program materials.
  • Prepare end of semester participant attendance and performance data and evaluation statistics and submit to manager for quarterly reporting.
  • Prepare fliers, graduation reports and certificates and other documents for special events.
  • Maintain program files and documentation in an organized manner.
  • Coordinate logistics with universities as needed.
  • Keep record of and follow up on cost share documentation requests.
  • Organize meetings and record minutes of meetings.
  • Perform other tasks as requested.

Job Requirements

Required:

  • Bachelor’s Degree in any relevant discipline such as education or business.
  • Proficient in using Microsoft Word, PowerPoint, Excel and Outlook
  • Excellent in both written and spoken English and Arabic.
  • Organization and problem solving skills;
  • Strong writing skills
  • Excellent attention to detail
  • Passion for youth development
  • Egyptian citizenship

Preferred:

  • A minimum of 2 to 3 years of work experience.
  • Demonstrated experience with program administration or project management.
  • Time management skills.
  • Team Player.
  • Interpersonal Skills.
