Job Description

Purpose :

  • To provide a professional and effective procurement service to all departments.

Responsibilities / Duties

  • Prepare purchase orders and send copies to suppliers and to departments originating requests.
  • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary
  • Respond to customer and supplier inquiries about order status, changes, or cancellations.
  • Perform buying duties when necessary.
  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Review requisition orders in order to verify accuracy, terminology, and specifications.
  • Prepare, maintain and review purchasing files, reports, and price lists.
  • Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.
  • Track the status of requisitions, contracts, and orders.
  • Calculate costs of orders and charge or forward invoices to appropriate accounts.
  • Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
  • Compare suppliers' bills with bids and purchase orders in order to verify accuracy.
  • Perform buying duties when necessary.
  • Maintain knowledge of all organizational and governmental rules affecting purchases, and provide information about these rules to organization staff members and to vendors.
  • Any other work that arises or is assigned by management.
  • Comply with all processes and procedures (Human Resources, HSEQ, Finance, Information Technology, Procurement, Operations) which include compliance with all applicable rules and regulations of the local labor law.

Job Requirements

Education / Qualifications

  • Minimum certificate or diploma in procurement,or equivalent qualification.

Experience

  • Minimum 3 years experience in a similar role.

Job Knowledge & Skills

  • Good understanding of procurement requirements relating to operational activities.
  • Strong budget and financial analysis skills.
  • Diplomatic consultation skills and robust negotiation skills.
  • Good commercial awareness.
  • Good level of interpersonal and communication skills. Collaborative style. Fosters and develops beneficial partnerships.
  • Provide high level of customer service to both internal and external customers. Prompt response to all queries.
  • Excellent time management skills and able to work to strict deadlines. High level of self-motivation and able to work with minimal supervision.
  • Very good English language ability both spoken and written. Spoken Arabic or Hindi an advantage
  • Professional and smart appearance at all times.
