Job Description

  • Managing the day-to-day operations of the office
  • Meet and greet clients and visitors.
  • Maintain the executive’s agenda and assist in planning appointments, board meetings, conferences, etc.
  • Attend meetings and keep minutes
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
  • Filing Skills and Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements
  • Record Daily income and expenses
  • prepare expected monthly balance and budget
  • Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct Research and prepare presentations or Reports as assigned
  • Ordering stationery and furniture
  • Hiring Process
  • Completing and filing of all the employees’ data files (the employee's Contracts, excuses, assignments & leaves requests, etc..)
  • Making employees Attendance (software).
  • Employees Salaries
  • Perform any other assigned tasks as required by the direct manager within the same level of responsibility.

Job Requirements

  • Bachelor Degree in Business Administration or related field preferred.
  • Excellent command of English and Arabic languages
  • at least 3 years of Proven Experience in Admin position (Office Manager, Admin Assistant, etc)
  • Experience as Assistant/Secretary
  • Very Good Experience in using Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Knowledge of clerical practices and procedures
  • Excellent time management skills and ability to multi-task and priorities work
  • Attention to details and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Prepare agendas for meetings, briefing materials and presentations as needed to support the Top level Management.
