Job Description
- Managing the day-to-day operations of the office
- Meet and greet clients and visitors.
- Maintain the executive’s agenda and assist in planning appointments, board meetings, conferences, etc.
- Attend meetings and keep minutes
- Receive and screen phone calls and redirect them when appropriate
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
- Filing Skills and Handle confidential documents ensuring they remain secure
- Prepare invoices or financial statements
- Record Daily income and expenses
- prepare expected monthly balance and budget
- Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct Research and prepare presentations or Reports as assigned
- Ordering stationery and furniture
- Hiring Process
- Completing and filing of all the employees’ data files (the employee's Contracts, excuses, assignments & leaves requests, etc..)
- Making employees Attendance (software).
- Employees Salaries
- Perform any other assigned tasks as required by the direct manager within the same level of responsibility.
Job Requirements
- Bachelor Degree in Business Administration or related field preferred.
- Excellent command of English and Arabic languages
- at least 3 years of Proven Experience in Admin position (Office Manager, Admin Assistant, etc)
- Experience as Assistant/Secretary
- Very Good Experience in using Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Knowledge of clerical practices and procedures
- Excellent time management skills and ability to multi-task and priorities work
- Attention to details and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Prepare agendas for meetings, briefing materials and presentations as needed to support the Top level Management.
