Job Description

  • Act as the first point of contact: dealing with correspondence and phone calls.
  • Manage diaries and organizing meetings and appointments.
  • Liaise with internal and external stakeholders to ensure a smooth flow of communication and understanding.
  • Screen and prioritize incoming items to the Executive, are advised of any updated current issues, events, and items, and make recommendations for action.
  • Follow up on directions sent through the Office of the Executives, monitor their progress.
  • Manage databases and filing systems.
  • Book and arrange travel, transport, and accommodation.
  • Plan, organize and execute projects and a range of diverse assignments.
  • Organize events and conferences.
  • Proactively identify issues and priorities.
  • Plan, organize and execute effective delivery of reports, programmed as required by the Executives.
  • Build professional relationships with senior management and the leaders in the organization.
  • Compile and prepare reports, presentations, and correspondence.

Job Requirements

  • Skillful & experienced executive secretary with at least 5+ years supporting C-Level Executives
  • Excellent communication skills, verbal and written
  • Ability to plan and prioritize work to manage time effectively and accomplish the assigned task
  • Fluent communication in English, written and spoken is a must.
  • German Language proficiency is a great plus.
  • Skillful in MS Office suite
  • Presentable, able to interact with people from different backgrounds
  • Bachelor’s degree from a reputable university
