Job Description
POSITION SUMMARY & KEY AREAS OF RESPONSIBILITY:
- Manages calendars, independently schedules appointments, reviews invitees, collects materials and prepares Executive for meetings
- Prepares records such as agenda, notices, minutes, and resolutions for meetings, schedules guests, and distributes materials in advance
- Assist with sorting, prioritization and disposition of incoming calls and correspondence (email and postal mail), responding independently when appropriate
- Follows-up on action items with direct reports on behalf of reporting manager
- Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings; Prepares and tracks expense reports
- Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget
- May provide support and direction to other clerical and administrative support staff
- Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents
- Compiles & analyzes data, and prepares reports and/or recommendations for executive-level staff
Job Requirements
PREFERRED QUALIFICATIONS:
- High School Diploma or equivalent
- 3+ years experience in administrative support or similar role required
- Excellent PC skills; Expert knowledge of MS Outlook, Word, PowerPoint, and Excel
- Proactive, high level of ownership, focused on completing tasks accurately and in a timely manner
- Ability to work independently and as member of team
- Organizational skills with ability to manage multiple tasks or projects simultaneously, ability to set priorities
- Good problem solving and issues management capabilities
- Ability to manage cross-functionally across multiple offices in different countries
- Very good verbal and written communication skills
- Strong customer service-oriented attitude and mindset
- Ability to problem solve and innovate with bottom-line results
- Must be a detail-oriented finisher despite distractions
- Very good written and verbal English skills; experience working in an English language environment, including facilitation of face-to-face and conference call meetings in English
JOB CONDITIONS:
- Work outside of standard hours is sometimes expected to meet deadlines and interact with employees and clients in different time zones.
- Arabic and English language (reading/writing) is a must.
