Job Description
- Organizing company events or conferences.
- Handle traveling file for the team (tickets, hotels & visa).
- Receive phone calls, help the client with their inquiries, and deal with correspondence and complaints.
- Attend the meetings, take notes, and send the notes to the targeted departments via mail.
- Responsible for all vendor management which includes ordering equipment and supplies, managing and monitoring service levels, invoice reconciliation and addressing unsatisfactory vendor services.
- Organize and schedule meetings and appointments.
- Manage phone calls and correspondence with clients (e-mails, letters, etc...)
- Maintain electronic and hard copy filing system.
- Act as the point of contact for internal and external clients.
- Design and implement filing systems.
- Responsible for handling all Administrative & Clerical work efficiently.
- Responsible for filing, organizing and assisting the Vice president Office Manager in maintaining a tidy and updated meetings' calendar
- Greeting and assisting visitors to the office.
- Coordinate schedules, appointments and bookings.
Job Requirements
- Minimum 3 years experiences.
- Organizing meetings and managing databases.
- Presentable is a must.
- Excellent communication and interpersonal abilities
- Excellent organizational and leadership skills
- Proficiency in Microsoft Office (Excel, Outlook, Word, and Power Point).
- Excellent Command of English language skills.
- Excellent command technical meeting notices.
