Job Description

  • The Music Administrator provides technical and administrative support to the Director of Performing Arts and the head of Music to ensure efficient day-to-day operations for the performing Arts department. They should be an excellent English speaker and Arabic.

Responsible to: Director of Performing Arts

Peripatetic Staff

  • Coordinate the Timetabling with the visiting staff
  • Ensure Timetables are correct and pupils are being rotated correctly
  • To make sure the timetables are posted to parents, staff and on the correct notice boards in each of the Buildings where lessons take place
  • Ensure that the visiting staff know the school calendar (holidays, school events etc)
  • Keep and administer the visiting teachers registers
  • Keep an up to date register of Instruments and which teachers/pupils are using them
  • Answer emails and phone calls from parents and staff
  • Ordering of Instruments and repairs
  • Respond to initial inquiries regarding to instrumental lessons

School Room Booking System

  • Collate the bookings and enter into the system and delete as necessary
  • Make sure the bookings are up to date and email staff if there are clashes.
  • Liaise with the Music technical team
  • Liaise with whole school staff over bookings for all halls

General Admin

  • Make sure that the stock of spare equipment is complete and order as required.
  • Working with the costume department to ensue all the costumes that are needed are sourced/made and per requirements for each show.
  • To be in charge of the social media for the Performing Arts department
  • Front of House at Concerts/Shows and Photography/filming of performances.
  • General administration for Performing Arts Staff in both schools.
  • Keep the Music Library organised.
  • Manage/oversee ticket sales for shows and concerts
  • Liaise with the marketing team for posters and programmes for concerts and shows.
  • Liaise with the maintenance workers/carpenters for repairs and construction of set
  • Assist in ordering music and Instruments from local suppliers
