Job Description
- Maintain and manage project files from project start to closeout
- Maintaining all documents & drawings under safe custody with easy traceability.
- Follow up with the projects team to ensure compliance and adherence to plans and rules
- Proactively create a data control procedure to ensure an efficient data management process (e.g. numbering, reference, etc.)
- Ensure the smooth flow of documents and data to project team members, as per the project distribution matrix.
- Produce and maintain Document Progress Reports ( Daily – Weekly – Monthly) as requested
- Maintain a solid and updated archiving system and address book both manually and electronically to facilitate data/ information retrievals
- Responsible for executing and managing all types of correspondences; email, fax, letter, memo, etc.
- Distributing all received documentations to the concerned parties on a daily basis
- Handling all reconciliation related to business trips; receiving bills, preparing financial memos and get necessary approvals
- Managing all administrative activities of the projects’ team; submitting all memos for review and approval
- Preparing the management meetings; manage calendar effectively, coordinate with invitees, take minutes of meeting and dispatch to all participants
- Liaise with other departments to follow up progress and manage deadlines
- Acts as an information hub to support the department director and other team members
Job Requirements
- 3 - 5 years of experience
- BSc degree
- Excellent communication & language skills
- Excellent Computer skills, professionalism in excel in an advantage
- Excellent organizing & problem-solving skills
- Proactivity and self-starter
- Analytical thinking ability
- Able to work independently with minimal assistance
- High level of accountability and punctuality
- A resident of Nasr city or nearby
