Job Description
- Implementing and maintaining procedures/office administrative systems.
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Supervising and monitoring the work of administrative staff.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Assisting the organization’s HR function by keeping personnel records up to date, arranging interviews and handling the Medical Insurance process.
- Applying induction programs for new employees.
- Supervise Office boys work and monitoring their discipline.
- Handling all related details about business travels arrangements for the CEO or any employee in GS1.
- Welcome GS1 visitors and guide them to the appropriate department as per needed.
- Answering phone calls and/or Emails and redirect it to the relevant department.
- Figure out clients' complaints and queries either in person or via telephone in order to support them with the appropriate help.
- Organizing and attending meetings with Top Management and Take accurate minutes of meetings if needed.
- Organize and schedule meetings and appointments for the CEO.
- Organize reserving the meeting room between different departments, preparing letters, presentations and reports.
- Ensure submission of daily/ weekly/biweekly/monthly reports to manager on time
- Direct walk-in customers lead to the related department
- Coordinate with IT department for maintenance for all office equipment.
- Negotiate with service providers for best prices for (Maintenance, office furniture, equipment, Stationary, etc) according to office budgets.
- Support Customer Success department in updating customers' data on GS1 CRM if needed.
- Support customers with different information about their status in GS1 from the system if needed.
- Organizing and planning events and meetings either inside the company or outside it.
- Maintain contact lists of GS1 employees, Vendors, Service providers, etc…
- Distribute correspondence memos, letters, faxes and forms
- Develop and maintain a filing system.
- Handle sensitive information in a confidential manner.
- Using a range of software packages and managing databases.
Job Requirements
- Experience 5 years + in an administrative role.
- Excellent level of English spoken and written.
- Excellent use of MS Office.
- good interpersonal and time management skills.
- Problem-solving skills.
- Leadership and the ability to ‘make things happen’.
- Attention to detail.
- Communication, negotiation and relationship-building skills
- Organizational skills.
