Job Description

  • Answer phone calls and redirect them when necessary
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments for top management
  • Prepare memos
  • File and update contact information of customers, suppliers and external partners
  • Support and facilitate the completion of regular reports
  • Develop and maintain a filing system
  • Check frequently the levels of office supplies and place appropriate orders
  • Make travel arrangements
  • Document expenses and prepare reports
  • Undertake occasional receptionist duties
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs & maintenance & Ensure that all items are invoiced and paid on time
  • Address employees’ queries regarding office management issues (e.g. stationery, and travel arrangements)
  • Liaise with office boys, cleaning, catering services
  • Plan in-house or off-site activities, like parties, celebrations and conferences

Job Requirements

  • High level of organization skills
  • Fluent English
  • The minimum educational requirement is a bachelor’s degree from an accredited college or university.
  • Female
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • Proven experience as an Office manager, Front office manager or Administrative assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands-on experience with office machines (e.g. fax machines and printers)
