Job Description
- Answer phone calls and redirect them when necessary
- Manage the daily/weekly/monthly agenda and arrange new meetings and appointments for top management
- Prepare memos
- File and update contact information of customers, suppliers and external partners
- Support and facilitate the completion of regular reports
- Develop and maintain a filing system
- Check frequently the levels of office supplies and place appropriate orders
- Make travel arrangements
- Document expenses and prepare reports
- Undertake occasional receptionist duties
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs & maintenance & Ensure that all items are invoiced and paid on time
- Address employees’ queries regarding office management issues (e.g. stationery, and travel arrangements)
- Liaise with office boys, cleaning, catering services
- Plan in-house or off-site activities, like parties, celebrations and conferences
Job Requirements
- High level of organization skills
- Fluent English
- The minimum educational requirement is a bachelor’s degree from an accredited college or university.

- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands-on experience with office machines (e.g. fax machines and printers)
