Job Description

  • Receive calls from customers and either assist them with their questions, or take a message for the proper party
  • Ensure that all bid documents and correspondence to larger clients is properly packaged and prepared for shipment
  • Schedule client conference calls, video conference sessions and meetings in the company conference room
  • Handle confidential documents ensuring they remain secure
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned
  • The Executive Assistant is responsible for the organization and coordination of office operations, procedures and resources to facilitate effectiveness and efficiency for the entire organization.
  • Manage and maintain Management calendar including scheduling appointments, internal/external meetings and conference calls.
  • Coordinate Management travel itineraries, flights, hotel accommodation, rental car and other travel needs.
  • Draft and edit correspondence, communications, presentations and other documents on behalf of Management.
  • Secure appropriate signatures and track documents through the approval process on behalf of Management.
  • Responsible for organizing of internal and external meetings on behalf of the management ensuring all necessary requirements are made e.g. meeting venue, equipment, presentations, prepare agendas.
  • Reminding the manager/executive of important tasks and deadlines

Job Requirements

  • FLUENT spoken and written English and Arabic is a MUST
  • Bachelors degree required.
  • 3-5 years of office administration experience.
  • Computer literacy and proficiency in Microsoft Office and Adobe.
  • must be committed to establishing and maintaining effective organizational systems within an office environment.
  • Event planning experience highly desired.
  • Understanding of project management and the skills needed to forecast and plan ahead.
  • Effective interpersonal communication style particularly with Board members, executives and senior level staff.
  • Passionate, enthusiastic, team player, with good judgment and an ability to work in a fast-paced environment and adapt quickly to changing needs and priorities; proven ability to prioritize and manage multiple tasks simulate
  • Presentable is a must.
  • Keen eye for details and aptitude for working with data.
