Job Description

OBJECTIVES OF THE PROGRAMME

Within the Department of Information, Evidence and Research, the Editorial, Graphics and Publishing (EGP) teams contribute to the implementation of knowledge management for health systems development regionally and within WHO, providing editorial and publishing support, graphic design services and regional and country office web support.

DESCRIPTION OF DUTIES

The incumbent will perform the following duties:

  • Support the editors in the production of regional publications, checking material for completeness; confirm references for editors; copy-edit and check appropriate non-technical material such as newsletters.
  • Generate, check and correct tables of content, indexes, annexes, footnotes, lists of participants and covers.
  • Serve as a custodian of approved originals of all documentation (routine and publications) produced in the Regional Office in English and provide such to Knowledge, Sharing and Production (KSP) unit for archiving.
  • Coordinate the publications workflow of the unit and all stages of the editorial process, including implementing publishing procedures with technical units.
  • Supporting Manager/EGP, Publications Committee and technical units in receipt, follow-up and tracking of publications proposals using ePub system and related or successor systems;
  • Follow up with technical units and ensure the implementation of the Publications Committee recommendations with regard to approved publications.
  • Prepare regular job status reports for the EGP Manager, and liaise with technical and production units as appropriate.
  • Prepare cost estimates for external editing and requests for costing of print services,
  • Guide support staff of other units on editorial procedures and use of WHO style.
  • Manage non-staff contractual arrangements for external work of the unit, including issuing imprest procurement requests, processing APWs and consultant contracts, and follow up with GSC and with technical units on delivery of assignment reports, etc.
  • Maintain and update the roster of external editors, and maintain publication files.
  • Review, clean and adjust publications, Regional Committee documentation and other work required in the unit, ensuring the correct application of template styles and layout.

Job Requirements

Education

Essential: Completion of secondary school education, supplemented by secretarial training.

Experience

Essential: At least eight years' experience in the area of administration, including some experience in the area of publications.

Desirable: Related experience in WHO/other UN organization.

Skills- Good understanding of the publications process, terminology and procedures.- Knowledge of WHO style.- High standard of composition typing in English using Word for Windows and knowledge of other Windows-based software.- Ability to learn/knowledge of Desktop Publishing (DTP) software as appropriate.- Typing in English at above standard speed with high level of accuracy.- Knowledge of office procedures and routines.- Ability to work to tight schedules and deadlines and under pressure.

Use of Language Skills

Essential: Expert knowledge of English. Expert knowledge of Local language.
Desirable: Intermediate knowledge of French.
