Job Description

JOB OVERVIEW:

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our CEO and employees, assisting in daily office needs and managing our company’s general administrative activities.

DUTIES AND RESPONSIBILITIES

  • Manage Travel requirements including visa application, flight tickets and hotel reservation ensuring all necessary logistics are in place
  • Arrange Business dinner including recommending the location, reservation and for setting the menu needed
  • Settle Expense reports and submitting the approved draft to accounting
  • Track Employees Vacation / Attendance
  • Coordinate appointments and meetings both office based or outside and managing CEO calendar and schedules.
  • Attend meetings with the CEO to take, type and distribute minutes of meetings.
  • Write e-mails, letters, reports and confidential documents as assigned in English or Arabic
  • Translate letters/articles from Arabic to English and vice versa
  • Setup accommodation and arrangements for company visitors.
  • Responsible for all documents that need to be signed by the CEO and ensures their delivery to the concerned parties.
  • Purchase office supplies and equipment and maintaining proper stock levels.
  • Provide general administrative and clerical support including Mail-in/ Mail out, scanning, faxing, photocopying and filing
  • Order business cards if needed

Job Requirements

QUALIFICATIONS

  • Undergraduate or Fresh Graduate / No experience needed
  • Eager to learn
  • Very Good English
  • Excellent written and verbal communication and time management skills
  • Excellent command of MS Office
  • Organized & Hard worker
