Job Description

Ensure smooth and trouble free operation for our vessels in the best economical way through coordination with operators, port authorities, receivers/shippers, and vessel's Masters.

  • Complete and timely reply handling of agency emails which includes Port call / SCT appointments in addition to inquiries.
  • Prepare accurate and correct PDAs based on the latest port tariffs
  • Follow up with vessel’s Masters regarding pre arrival info / documents needed for proceeding with formalities.
  • Liaise internally and externally with boarding officers / documentation officer regarding timely formalities completion.
  • Communicate vessel’s ETA / prospects to all concerned parties on time via emails and phone calls in case needed.
  • Contacting, updating and building good business relationships with shippers or receivers of cargos.
  • Follow up vessel’s operations at Port or while transiting Suez Canal / send timely and accurate updates to our clients from arrival till sailing.
  • Full Awareness of latest customs / port regulations and update same on company database on time.
  • Liaise with client / follow up with accounts regarding timely PDA funds remittance and / or copy of bank swift.
  • Good handling of clients complaints / arguments on emails and over phone.
  • Guide and cooperate with boarding officers to achieve best options for our clients.
  • Capability to build accumulated knowledge and experience.
  • Organize and coordinate the port call, acting on behalf of the owners / charterers / shipper or receiver.
  • Responsible of organizing, overseeing and coordinating all aspects of the port call, from booking berth allocations and services ahead of the vessel’s arrival to finalizing the accounts and other paperwork after the vessel has sailed.
  • Capability to build good relationships with different service providers, any third party which should facilitate work flow and serve our client’s interest.
  • Issuing vessel’s revised DA to principals before vessel's ccompletion / sailing with 3 days in order to avoid any pending balances.
  • Reviewing /approving suppliers/port authorities invoices.
  • Revising FDAs.
  • Following up sequence and duly completion of day to day work
  • Ensure all work forms / reports are up to date
  • Vendors agreements and handling / reviewing and negotiating their contracts
  • Follow up pending balance our favor before vessel's sailing from Port
  • Follow up accurate line up received on daily basis from boarding officers.
  • Handling company accounting system development plan .
  • Handling & supervising technical tasks such as revising SOFs / BL / shipping orders plus any other loading & discharging cargo docs.

Job Requirements

  • B/C of Commerce / Business Admin/Logistics
  • English proficiency is a must.
  • Good command of all office application (Excel, Word, PowerPoint)
