Job Description

  • To ensure the proper coordination and structuring of a competitive, acceptable and successful proposal and ensuring an effective administration of proposal related activities, to ensure maintaining a database with respect to sales.
  • To assist the Sales team with regard to the administration of proposal preparation, to coordinate with departments and ensure the gathering of all information required on time, so as to ensure the timely submission of proposals based on client’s RFI / RFP’s.
  • To maintain outlines, writing assignments, format, work breakdown structures and proposal schedules.
  • To coordinate with respective personnel to establish the format and writing theme and assumptions.
  • To be responsible in assuring documentation is complete and available for review prior to submittal and subsequent activities.
  • To ensure proper review of proposal documentation happens and to identify the key elements of the proposal in accordance with Company policies & procedures and commercial best practice.
  • To be responsible to ensure all requested documents by the client is completed and prepared prior to a proposal being submitted.
  • To ensure preparation of the ‘Purchase requisition’ form in coordination with the sales personnel and collecting details from customer’s local purchase order and ensure delivery to Purchasing unit / Finance.
  • To ensure prompt receipt of goods/services and the delivery to the customer, to prepare and ensure delivery note is authorized by customer, to send delivery notes to Finance department, so as to ensure the timely preparation of Invoices.
  • To ensure databases are maintained with information regarding to project details, closed and consolidated business, customer details, projected forecasts, etc so as to enable to prepare reports whenever requested.
  • To ensure maintaining and updating a proposal log with details of RFP’s, clients, proposal contents, submission dates, etc.

Job Requirements

  • A Bachelor’s degree in a relevant discipline
  • 4 to 9 years of relevant work experience (Previous experience in leading a team / pre-sales environment is desirable).
  • Good written communication skills in English and the ability to interface with functional departments and customers are required.
  • French speakers essential
  • Proficiency in Microsoft Office Applications
  • Skills in maintaining information as a database
  • Excellent interpersonal skills
  • Ability to read, understand and write technical information
  • Ability to understand the customer's needs.
  • Self-confident; highly motivated; good analytical skills
