Job Description
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Provide general support to visitors
- Handle couriers and track shipments
- Screen and direct phone calls and distribute correspondence
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Serve as the point person for office manager duties including: Maintenance, Mailing, Supplies, Equipment, Bills, Errands, Shopping
- Schedule meetings and appointments
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs
- Coordinate with IT department on all office equipment
- Ensure that all Admin related items are invoiced and paid on time
- Manage contract and price negotiations with office vendors, service providers and office lease
- Make travel and accommodation arrangements
- Assist in the on boarding process for new hires
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Liaise with facility management vendors, including cleaning, catering and security services
- Assist various departments in their daily tasks, especially Sales & Marketing teams
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Responsible for Admin projects involving management and/logistics such as moving premises and/or relocation etc
