Job brief
- We are looking for an experienced senior Administrative officer to supervise daily support operations of our company and plan the most efficient administrative procedures. You will responsible to complete a range of administrative duties in different departments.
- A great senior Administrative officer has excellent communication and organizational skills. The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently.
- The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.
Responsibilities
- Plan and coordinate administrative procedures and systems and devise ways to streamline processes
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations
- Manage schedules and deadlines
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
- Monitor costs and expenses to assist in budget preparation
- Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
- Organize and supervise other office activities (recycling, renovations, event planning etc.)
- Ensure operations adhere to policies and regulations
- Assist and support the company management, as part of a team, to ensure the effective servicing of all aspects of the company business.
- To act as link officer between the company management and the administrative team to ensure a smooth and consistent service.
- To receive, respond to and initiate correspondence and other documents relevant to company business.
- Prepare agenda and reports for, attend and prepare minutes of meetings, Committees and take follow-up actions as requested.
- Work with the Assistant of company Management to implement and monitor company policies and procedures and where appropriate make recommendations for change.
- Maintain secure and accessible deeds, plans, correspondence and other records and documents relating to company functions.
- Ensure an up-to-date knowledge of company policies/procedures, services and relevant legislation and attend appropriate courses to assist with this aim.
- Take responsibility for specific company schemes, events and projects as requested.
- To work with the company management to ensure that the company obligations for Risk Assessment/Health and Safety are being properly met.
- Represent the company as required and ensure good working relationships with Government offices and other public organizations and community groups.
- Carry out any other appropriate and relevant duties as the company may require.
Job Requirements
Requirements:
- Ability to communicate with staff, and the general public in a pleasant and effective manner
- Ability to manage all aspects of the company in accordance with the requirements of the Local Government Law
- Ability to prioritise workload to provide most effective management of company business
- Ability to prepare Agenda, Committee Reports and Minutes to a high standard
- Ability to undertake actions from Minutes
- Ability to be self motivating, innovative and work without supervision
- Ability to assist with management of projects and events
- Proven experience as senior Administrative officer with minimum 4 years’ experience
- In-depth understanding of office management procedures and departmental and legal policies
- Familiarity with financial and facilities management principles
- Proficient in MS Office
- An analytical mind with problem-solving skills
- Excellent organizational and multitasking abilities
- Strong Communication Skills
- A team player with leadership skills
- BSc/BA in business administration or relative field
