Job Description
Document Control:
- Ensure site document control processes are implemented and adequate to requirements. The process includes but not limited to, the coding system, the log records, the proper documents’ distribution and archiving
- As-built documents archiving for the old, current and future projects
- Ensure a clear communication with the different stakeholders inside the organization (Projects, Retail & Design, Finance, legal, leasing, Maintenance, Housekeeping, Parking and Tenant relation functions)
- Ensure documentation at site is stored and controlled according to process
- Digital backup for all company’s departments and all historical data
Process Development:
- Assess organization’s processes to identify and design the most efficient means necessary for process improvement.
- Develop new and revised policies, procedures, process maps and forms for all functional areas that are will written and which accurately reflects the proper level of detail
- Conduct and utilize research regarding best practices to develop recommendations for the operations’ business model updates
- Ensure all operational processes are in compliance with company’s policies and standards
- Performs the ongoing management of policy recommendations and procedure documentation which includes adhering to a change management process, obtaining approvals for proposed policy changes, publishing approved documentation in proper portals, and maintaining published documents version archives
- Works with stakeholders and policy owners to maintain consistency and harmonization of policy and procedures across all departments
- Collaborates refreshment for employees and department heads on new/updated policies and procedures to ensure consistency across the departments
Job Requirements
- Bachelor Degree
- Experience in developing & maintaining operational policies & procedures & SOPs, solid background in document controlling,
- Previous experience in contact center quality and process improvement function is preferred.
- Very good awareness for the company’s business nature, apply and develop a complete policy for the different departments
- Very good communication skills, extreme attention to details, highly organized, teamwork and problem solving
