Job Description

Event Coordinator

The Event Operations Coordinator is an entry-level position responsible for providing operations support during all company events. To support the Operations team & Project Managers in delivering all aspects of public and corporate events, maximizing profit in all areas.

Assist with the time to time co-ordination and planning of the event calendar including telephone answering, responding to email inquiries, researching suppliers, negotiating contracts, processing payments, paying invoices and general administration.

Ability to work flexible, extended, and often irregular hours, including nights, weekends, holidays, and long stretches of consecutive days, as dictated by the event schedule.

Responsibilities:

  • To handle multiple projects from entry-level to mega-huge events.
  • Plan and propose workflows for every event
  • Negotiate contracts and manage suppliers
  • Communicate daily with internal and external customers, partners, and vendors
  • Follow up on the concepts and proposals approved by clients and put them into reality
  • Source for materials and act as a negotiator to obtain cost-effective prices from suppliers
  • Key liaison between the client, event managers, in-house designers and other 3rd party vendors leading up to the event, ensuring that both client & event requirements are met
  • Coordinate and manage the set-up and production of the event on-site, ensuring the delivery of a high-quality event
  • Supervise and manage all suppliers and contractors working on location
  • Ensure and maintain the confidentiality of all appropriate communications and documentation
  • Track, prioritize, and assign all incoming written and oral communications, as necessary, to the appropriate person(s) for response
  • May travel throughout the region
  • Proactively sell international & local events/exhibitions to new clients
  • Drawing events/exhibitions floor plan and exhibitions stand design

Job Requirements

  • Must have at least +2 years’ experience in the events industry with a focus on customer service
  • Must be fluent in English (Speaking & Writing)
  • Strong technical skills in AutoCAD
  • A Good user of 3Ds Max, Creativity is a plus
  • Have strong sales skills
  • Excellent in the Microsoft Office suite (Outlook, Word, Excel & PowerPoint)
  • The ability to work independently with little to no immediate supervision
  • Excellent organization, prioritization & time management skills
  • Must have a positive attitude and be a team player
  • Strong administrative skills is a must
  • Good negotiation, strong communication, customer service, and problem-solving skills (able to form relationships with all levels within an organization)
  • Effective crisis management
  • A passion for events and communication with an accurate eye for details.
  • Ability to handle pressure, multi-task and work within tight schedules/deadlines.
  • Possess excellent customer service and sales skills
  • Budgeting and forecasting experience; contracts and procurement experience is a plus
