Job Description
- Coordinate project documentation deliverables and exchange with stakeholders (PEC site, suppliers, customers)
- Coordinate on documentation(deliveries, exchanges ...) the project stakeholders (p.e.: customers, suppliers and partners)
- Transfer requests from stakeholders to people concerned on the subject (Quality, Technical, PM)
- Ensure the proper information processing within the team
- Project documentation tracking and follow-up.
- Secure the back-up of the Doc Manager (to be defined early in the project)
- Being the main support of the project documentation: Quality, lead time
- Documentation delivery dates
- Exchanges after comments (body control, customer)
- Alert responsibility (key dates anticipation)
- Documentation form and content in accordance with customers requirements
- Obtain commitments and challenge on time proper delivery
- Coordinate translation of documents (if necessary)
- Coaching on best practices
- Provide a support role in order to make people autonomous
- Responsible of customer contractual deliverables
- Documentation process rules definition or adaptation
- Guarantee documentation availability and accessibility
- Provide a support to the TL in the validation process of the design with the customer
- Check document attributes
- Documentation transfer through the portal (Doc Emedia or customer portal)
- Manage regular reporting to the PM and TL on produced/validated documentation
- Reassign tasks apropriately
- Perform regular control follow-up ( comments verification, file naming & folders ...)
- Consolidate the documentation plan
- Identify and conduct contractual documentation
- Confirm the documentation delivery dates (Due Date) in cooperation with the TL
- Creation, control and follow up of documentation tracking file PEC --> Customer and Site
- Manage the documentation
- Publication of external documents (for information, execution, validation ...)
- Ensure the transfer of documents (Reference/Repository -> Portal or email)
- Secure the "workflow" (roles) for each document (give priority to delivery of package of documents)
- Management of remarks file (PEC, customer, supplier, site)
- Identify critical documentation according to the project schedule and understand the importance of Customer deliverable
- Be a force of proposal to facilitate the progress of documents, communication, deadlines
- Monitoring & Traceability for the Claim
- Generate transmission forms for expected contractual documents and provide them to customer and suppliers.
- Updating the documentation plan (deadlines & answers stakeholders)
- Synchronization of documentation deadlines with project schedule
- If the project subcontracts all or parts of the Studies, secure compliance with the delivery time by subcontractor (by the technical & logistics team)
- Regular communication with the "core team" on the documentation plan
- Make regular reporting of progress in coordination meeting (indicators, dashboards ...)
- Scaling deviations with TL & PM
- Capitalize & involve the team in best-practices and to the proper use of the IS
- Orient team members toward the IS team for technical problems
- Being a sponsor of IS system and interact with the IS team concerning encountered difficulties with the tool and the team feedback
- Guarantee repatriation of documents received outside the documentation portal maintaining their status
- Participate on IS user workshops in order to communicate best practices
- Management of documentation exchange between the site and other parts (customer, suppliers, partners) :
- Depending on network capabilities and tools available on site, propose the use of IS tool on site and prepare the rules for proper utilization
- According to the defined communication plan, monitor and ensure interaction with the project site team
