Job Description
- Provide administrative support to ensure that operations are maintained in an effective, up to date and accurate manner through
- Typing correspondence, reports and other documents
- Maintaining office files
- Opening and distributing the mail
- Taking minutes at meetings
- Distributing minutes
- Coordinating repairs to office equipment
- Supervising the work of low level clerks and assign jobs to them.
- Provide receptionist services through greeting and assisting visitors, answering phones, directing calls and responding to inquiries
- Provide support to the department to ensure that it is provided with the resources to make effective decisions
- Maintains manager’s calendar, schedules appointments based on knowledge of administrator’s responsibilities and issues of importance.
- Create Effective Filing Systems
- Making travel arrangements: when the employer or the department has to travel some place on official work, the administrative assistant makes arrangements for the travel and stay.
- Budgeting: Monitors and reconciles departmental budget and tracks travel expenditures.
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
