Job Description

  • Create Purchase Requisition for all projects.

  • Receive material request from sites and projects Managers, review contents with contract, complete it with concerning members and approve it from PM Director.

  • Approve internal and external documentation from PM Director.

  • Receive, record, track, copy, scan, file, and distribute all project correspondence and documents.

  • Create and maintain a filing system for project, change order files, shop drawings submittal files, general correspondence files, insurance certificates, inspection reports, and other applicable documents.

  • Provide administrative support to project engineers and field staff. To maintain neat, orderly, complete legal documents and project files. To support receptionist and to be flexible in assisting other team members as needed.

  • Provide administrative personnel support to PM team with internal Departments.

  • Maintain adequate office supplies and equipment

  • Ensuring and follow up with Purchasing and Logistic for equipment delivery of all projects.

  • Arrange, review and allocate the resources depends on Management instruction for all projects and report it monthly to PM Director.

  • Collect, calculate and review the timesheet from projects for all PM team and generate the total timesheet for projects monthly with report.

  • Receive, review and create the imprest forms for all projects and report it to PM Director .

  • Collect, complete and arrange the repair activities for defected items from sites with Purchasing and Logistic Department.

  • Provide information via hard copy or electronic, per procedure, to project team, and internal departments PM Process documents.

Job Requirements

  • University Degree in IT, BA/Commerce and Accounting or any with experience in field.

  • Minimum 3 to 4 years’ experience in field.

  • Must have good command over English read, written & spoken.

  • Must have good negotiating skills and capabilities.

  • Good analytical, interpersonal and effective communications skills.

  • Computer Literate.
